Marquee Hire Process
At Meridian Marquees we believe we need to fully understand the customers needs and vision for their wedding, birthday party or other special event. As a result we initially spend time, typically over the telephone, getting as good a brief for the event as possible. Often this not only covers the basic fundamentals like expected numbers, date, location etc, but also details like catering ideas (i.e. buffet or waitress service), entertainment (i.e. disco and/or band) etc.
We also discuss details relating to the proposed marquee site, whether it is grass/hard-standing/gravel etc, whether it is flat or uneven/on a slope and such like. If it is deemed more appropriate by both parties, we are very willing to visit our customers to take an initial brief. This is often sensible where particular site issues/restrictions may affect the initial quote.
We are always 'upfront' and honest with potential customers - for example if we think that their requirements cannot be met with their stated or target budget we will always say so. If there are alternative solutions that perhaps could bring the event within budget then we will of course advise accordingly.
First Point of Contact
After the first contact we will appoint a job manager for the enquiry and we work on putting together an initial estimate and design for your particular event, based upon the information we have received during initial discussions.
It is always our aim to be as accurate as possible with our estimate and to respond as quickly as possible. If you need an estimate by a particular deadline please let us know as early as possible and we will endeavour to deliver.
Often our estimates will be accompanied by plan of a proposed layout which our customers find very useful in helping them understand the quotation. Do bear in mind layouts are innumerable but not knowing any site specifics until we survey the available marquee space we often plump for a simple layout to begin with. We reserve the right to modify the estimate if problems or benefits of the site become apparent after a subsequent site visit.
If you wish to take our proposal further we then would require a site visit at a convenient time for you. We can then measure the proposed location and discuss the quote in further detail. You can also view our portfolio and more detailed images of our products. We may then further down the line require a possible Technical Site Survey if the build is complex or the site unique in terms of access, power supply etc.
Detailed Planning after Confirmation
After confirming you would like to go ahead, we usually like to meet to ensure a smooth and stress-free time by planning and co-ordinating much of the detail in advance. This means that all parties involved are fully aware of what is expected of them and there is less chance for last minute surprises which necessitate rushed last minute solutions. In particular we liaise with the key suppliers for your event (caterers, entertainers, florists, toilet suppliers etc) to ensure all their requirements are met.
For the actual build and removal of your marquee a dedicated Site Manager is assigned to your event. They will liaise with our technical team, and will be your on site contact, making sure that all your requirements, queries and concerns are dealt with as quickly and efficiently as possible.
We find that our customers gain a huge amount of reassurance and confidence from having a constant, experienced on-site contact, as well as office support from the initial point of contact through to when the final piece of equipment leaves the site.
