Case Study – Joint 50th Birthday Party – Private Venue

When;

May 2014 - A CEO and his wife wanting to have a joint Birthday Party for friends, colleagues and family.

The brief;

Approached by a company who specialise in global business development for private houses and luxury event management who had a private client hiring one of the venues they promote. The client would have exclusive use of the stately home for the weekend. As well as a multitude of activities such as shooting, 4x4 driving, yoga and cooking they would require formal evening dinners for more guests that the house could accommodate.

When we met the Event Management team who were organising on behalf of the client it was clear the eclectic tastes of the family and their life needed to be represented in these two dinners and two distinctive ‘looks’ would be required of one marquee structure for these dinners.

The approach

The site visit established that the Grade 1 listed house and Lutyens gardens would require a bespoke approach to the build. Trackway would need to be installed to protect gravel pathways and manicured lawns. The owner would not allow the structure to be on the lawns for any longer than 5 days leaving only 48hours for the full build and 24hours for the strike!

A 15m x 30m marquee was to be built with full catering kitchen and a separate toilet structure. The key was to utilise the 15m x 25m of guest space to create to entirely different looks for the Friday and Saturday nights.

We achieved this by creating a modern Asian vibe on the Friday night with flat white linings, white and silver Asian inspired illuminated bar furniture and dining around a small dancefloor for the huge variety of entertainments. This only utlised 15m of the structure with the 10m behind already fully lined in blackout ready for the following evening.

On the changeover we removed all signs of the clean white modern look ready for a glitzy, dark black tie evening with full table service, nightsky linings throughout and complete internal furniture layout change. The backdrop of the previous night was then used a reveal for a huge dancefloor with raised seating and chill out furniture.

The lighting and production Visions provided were all instrumental in creating the two entirely different looks and moods for each evening in the very same space.

The outcome

Both the client and venue were incredibly complimentary saying we were so tremendously professional and worked wonders within the strict time parameters set whilst also totally respecting the gardens and estate. The gardeners were amazed how little evidence there was that there was even a marquee up! The client was stunned at how one structure could look so different in 12hours.
